Transition to New Visitation System

The Hampden County Sheriff's Office (HCSO) is transitioning to a new Visitation Portal and database system for Background of Person (BOP) requests. This change affects specific visitor categories as detailed below.

 

Important Dates

July 20, 2026 – Transition Begins (Family members and personal visitors are not affected at this time.)

  • Main Institution (Ludlow): Starting July 20, all new (BOP) requests and renewals for the affected visitor types must be submitted through the new portal
  • Women's Correctional Center, Stonybrook Stabilization and Treatment Center, Western Massachusetts Recovery and Wellness Center: Dates to be announced

September 2026 – Transition Complete

  • BOP clearances from the previous system will no longer be accepted
  • All visitors must have active BOP clearance in the new system to gain facility access

Transition Period Grace Option

To ensure continuity of access and prevent delays during entry, individuals who have submitted a BOP request within the past 12 months may submit a new request through the new system during the transition period . This allows you to complete the transition on your schedule and maintain uninterrupted facility access.

 

Who Is Affected?

Family members and personal visitors are not affected at this time.

This transition applies to the following visitor categories:

Professional Service Providers

Individuals representing external agencies who provide services to residents, including case managers and recovery coaches.

Attorneys and employees of the Department of Children and Families are not affected at this time.

Volunteers

Individuals who donate their time to facilitate programs, classes, or meetings with residents, including AA/NA sponsors, religious services leaders, educators, and activity instructors.

Maintenance/Tradespeople

Service professionals providing facility maintenance and repair services, including electricians, plumbers, and equipment technicians.
